Leaving a HiHi phone contract: plan your switch before renewal

A practical checklist for businesses reviewing a HiHi phone contract, preparing to move their numbers and avoiding an accidental loss of service.

In brief

If your business is reviewing a HiHi phone contract, start by confirming the contract dates and the services attached to it. Then plan number porting, replacement call handling and staff changes before you submit a cancellation request. The exact process depends on your agreement and the services in use.

Check the contract before you choose a leaving date

Find the signed agreement, later variations and recent invoices. Confirm the minimum term end date, any notice period, how notice must be given, any early termination charge, and what happens when the fixed term ends. Check whether the phone service is bundled with handsets, maintenance, connectivity or finance agreements that have separate end dates.

Ask the provider to confirm the final date in writing and itemise any charges it says will apply. Do not assume that cancelling a handset or support agreement also cancels the telephone service.

If you have 10 or fewer employees, check the contract information

Ofcom says small business customers with ten employees or fewer should receive a written Contract Summary before consenting to a new contract, followed by fuller contract information before they are bound. The summary should make key points such as charges, contract length and cancellation clear.

Ofcom’s General Conditions also restrict commitment periods for relevant customers and require a shorter-term option. Ask the provider to explain which protections apply to your organisation and to provide the current documents before you agree to a renewal or replacement service.

Keep your business numbers working during the move

List every number used by customers, suppliers, staff, alarms, payment terminals and other equipment. Ask the new provider to check which numbers can be ported and what information or Letter of Authority is required.

Do not cancel the existing number service before the gaining provider confirms that the port is complete. Agree a migration date, test inbound and outbound calls, and keep a temporary call route available if the port or configuration is delayed.

Choose the replacement around how your team answers calls

Decide whether calls should ring a hosted phone system, SIP phones, a compatible PBX, a mobile, or a mix of destinations. Check the number of simultaneous calls, included minutes, out-of-bundle rates, call recording, voicemail, opening-hours routing, emergency calling arrangements and the support you will receive.

Include any hardware, installation, configuration, number-porting, call-divert usage and ongoing support charges in the comparison. A low monthly figure can leave out setup work or usage charges that matter to your business.

A practical switching checklist

1. Confirm the contract end date and notice method. 2. Request written itemised exit charges. 3. List the numbers and services you need to keep. 4. Confirm porting eligibility and migration dates with the new provider. 5. Arrange the replacement service and call routing. 6. Test calls and connected equipment. 7. Give cancellation notice only in line with the confirmed port and contract process.

Keep copies of the provider’s replies, your cancellation request, the porting confirmation and final bill. If dates or charges are disputed, raise the issue through the provider’s complaints process and keep the response.

Check Ofcom’s current guidance

Ofcom publishes guidance on contract information, commitment periods and cancellation. Check the latest guidance for your service and customer type before agreeing to a new contract.
